About this policy
Aotearoa Contact Training Services (“we”, “us”, “our”) respects your privacy and handles your personal information in line with the Privacy Act 2020 and its 13 Information Privacy Principles.
This policy explains how we collect, use, share, store and protect personal information when you visit aotearoacontacttraining.com, enrol in or complete our online training workshops, or contact us.
Our privacy officer is Shirley Harris, who you can reach at shirleyharris@aotearoacontacttraining.com.
Information we collect
We only collect personal information that we need for the purposes set out in this policy. Depending on how you interact with us, this may include:
- Contact details such as your name, email address, phone number and postal address
- Enrolment details such as the workshops you register for, your employer or organisation, job role, and any accessibility or learning support needs you choose to tell us
- Training records such as attendance, participation, assessment results and certificates issued
- Workshop recordings: we do not record our online training sessions
- Payment details such as invoices and billing contacts. We do not take payments online or collect card details through our website
- Communications you send us, including enquiries, feedback and course evaluations
You can browse our website without telling us who you are. If you choose not to provide information we ask for, we may not be able to provide some services, such as processing an enrolment or replying to an enquiry.
How we collect it
We collect most personal information directly from you, for example when you fill in a form, request places, log in to complete a workshop or contact us.
We also collect some information automatically through basic website cookies and visitor statistics (see Cookies and visitor statistics below).
Sometimes we receive your personal information from someone else, most often your employer or organisation when they enrol you in a workshop, or a funding agency that supports your training. This usually includes your name, contact details, job role and the workshop booked.
When we collect information indirectly like this, we will let you know, usually in your enrolment confirmation email, that we hold your information, who provided it, why, and how to access or correct it. This meets Information Privacy Principle 3A (in force from 1 May 2026). Where your employer has already told you this, we may not need to tell you again.
How we use your information
We use your personal information to:
- Enrol you in workshops and run our online training
- Track attendance, assess learning and issue certificates
- Report completion to your employer or funder, where they enrolled or paid for you
- Meet any accessibility or learning support needs you tell us about
- Respond to your enquiries and provide support
- Send invoices and keep billing records
- Send you information about upcoming workshops, if you have opted in
- Improve our training using your feedback and evaluations
- Keep our website and online training secure
- Meet our legal obligations, such as tax and accounting record-keeping
We will only use your information for these purposes or directly related purposes, unless you agree otherwise or the law allows it.
You can unsubscribe from marketing emails at any time using the link in each email or by contacting us.
Cookies and visitor statistics
Our website uses only basic cookies. These are small files stored on your device that the site needs to work properly, for example to keep you logged in while you complete a workshop.
We do not use advertising or tracking cookies.
We use Jetpack Stats, a service provided by Automattic, to count website visits and see which pages are most popular. Jetpack Stats does not use cookies and does not identify individual visitors, but it may briefly process details such as your IP address and browser type on servers outside New Zealand to produce these counts.
Our Request places form uses Cloudflare Turnstile to check that each submission comes from a real person rather than an automated program. To do this, Cloudflare briefly processes details such as your IP address and browser information, which may be on servers outside New Zealand. Cloudflare does not use this information for advertising.
You can block or delete cookies through your browser settings. Some parts of the website may not work properly if you do.
Who we share it with
We do not sell or rent your personal information. We only share it where needed to run our business, with:
- Your employer or funder, where they enrolled or paid for you, so they know whether you attended and completed the training
- Service providers who help us run our workshops, namely Microsoft OneDrive, where we store your information, and Microsoft Teams, which we use for some online sessions
- Our professional advisers, such as accountants and lawyers
- Government agencies or others where the law requires or allows it, such as to prevent a serious threat to someone’s health or safety
Our service providers may only use your information to provide services to us.
Overseas storage and disclosure. Some of our service providers store data overseas, including Microsoft, which stores our files on OneDrive servers that may be located outside New Zealand. Before we disclose your information to an overseas organisation, we take reasonable steps to make sure it is protected by comparable safeguards to those in the Privacy Act 2020, as required by Information Privacy Principle 12.
Security and retention
We take reasonable steps to protect your personal information from loss, misuse, and unauthorised access, use, change or disclosure. These include encrypted (HTTPS) connections, password-protected systems, and limiting access to staff who need it.
No method of transmission over the internet is completely secure, so we cannot guarantee the security of information you send us online.
We store personal information on Microsoft OneDrive. We delete training records and student information once you have received your certificate of training. Invoices and billing details are kept for as long as New Zealand tax law requires.
Your right to access and correct your information
Under the Privacy Act 2020, you have the right to ask for a copy of the personal information we hold about you, and to ask us to correct it if you think it is wrong.
To make a request, contact us using the details below. We will respond as soon as reasonably practicable, and no later than 20 working days after we receive your request. We may need to verify your identity first.
If we decline to correct your information, you can ask us to attach a statement of the correction you requested to that information.
Privacy breaches
If a privacy breach involving your information is likely to cause you serious harm, we will notify you and the Office of the Privacy Commissioner as soon as practicable, as the Privacy Act 2020 requires.
Complaints
If you have a concern about how we have handled your personal information, please contact us first so we can try to resolve it. If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
